Who I am

I am Helen O’Neill, a sole trader offering breathwork, Reiki and spiritual healing, mindfulness, coaching, mediumship, circles, workshops and related wellbeing sessions. I am responsible for the personal information described in this notice. Contact me at info@helenoneill.co.uk, 07899 898374, or 25 Webster Road, Rainham, Kent, ME8 7SD.

Information I collect and where it comes from

When you enquire or book, I may collect your name, contact details, appointment and payment status, correspondence and the service you choose. If you take part in a session, I may ask for relevant health information, accessibility needs, emergency contact details, consent information and brief session notes so I can assess suitability and deliver the session safely. For a child or young person, I collect the minimum details needed from their parent or guardian, including the child’s name and age group, relevant safety information, consent and an emergency contact. I normally receive this information directly from you or the person with parental responsibility. My website and booking tools may also collect technical data such as IP address and cookie choices; see the Cookie Policy.

Please do not send detailed medical information through an ordinary website contact form. I will ask for it through an appropriate intake process where needed. I do not need payment card numbers; Stripe handles card payments.

Why I use it and my lawful bases

I use enquiry details to respond to you and, where appropriate, take steps towards a booking (contract). I use booking and contact details to arrange, deliver and administer sessions or packages (contract). I keep invoices and transaction records to meet tax and accounting duties (legal obligation). I may retain proportionate records to manage queries, safeguard participants and defend or establish legal claims (legitimate interests, balanced against your rights, or legal obligation where one applies). I send promotional emails or texts only where the law permits and you have the appropriate choice to opt in or out; I do not use health information for marketing.

Health information is sensitive information under data protection law. Where I ask for it to check suitability or adapt a session, I will ask separately for your explicit consent to process the relevant health information. For children, I ask the parent or person with parental responsibility for the information and appropriate consent, and explain the session to the child in a way they can understand. If this information is necessary for a particular activity and you do not wish to provide it, I may be unable to offer that activity safely. Withdrawing consent does not affect use already made lawfully, and I may still need to keep limited records for another lawful reason.

Who receives information

I use service providers to operate the website and deliver bookings, payments, email and online sessions. These may include IONOS for website hosting, Calendly for scheduling, Stripe for card payments, and the email and video meeting services actually used for your booking. They receive only the information needed for their role and may have their own privacy notices. I may share information with professional advisers, insurers or authorities where necessary and lawful. If I have a serious concern about a child’s safety, I may share relevant information with safeguarding or emergency services. I do not sell your personal information.

Some providers may process information outside the UK. Where a restricted international transfer occurs, I rely on the applicable UK adequacy arrangements or appropriate safeguards, such as the UK international data transfer arrangements, after checking the provider’s terms. Ask me if you would like details of a particular provider.

How long I keep it

I keep unsuccessful enquiries for up to 12 months after the last contact, unless there is a reason to keep them longer. I keep financial records for at least the period required for tax purposes, normally six years after the relevant tax year. I keep adult intake, consent and brief session records for up to six years after the last session; for a child I keep them until their 25th birthday. I may keep a specific record longer where a complaint, safeguarding concern, insurer requirement or legal claim reasonably requires it, then review and delete it securely. Cookie retention depends on the tools in use and is described in the Cookie Policy. Please check that these proposed periods match your actual record-keeping practice before publishing.

Your choices and rights

Depending on the circumstances, you may ask to see, correct, erase or restrict your data, object to its use, or ask for a portable copy. You may withdraw consent where I rely on it. Contact info@helenoneill.co.uk. I will respond in accordance with data protection law. You can complain to the Information Commissioner’s Office at ico.org.uk or by calling 0303 123 1113. I do not make decisions about clients by solely automated processing that have legal or similarly significant effects.

Website and Booking Terms

Last Updated 28th September 2026

About these terms

These terms apply to services supplied by Helen O’Neill, sole trader, through helenoneill.co.uk and bookings made at calendly.com/helenoneillbht. You can contact me at info@helenoneill.co.uk, 07899 898374, or 25 Webster Road, Rainham, Kent, ME8 7SD. Your booking confirmation identifies the service, date, duration and price. Please read the Cancellation and Refund Policy below before paying. Nothing in these terms limits your statutory consumer rights or excludes liability where the law does not allow it.

Bookings and payment

Individual paid sessions are paid in full when booked. A three-session or six-session breathwork package is paid in full upfront; the included appointments are then scheduled without another session payment. The price and contents shown at checkout and in your confirmation take precedence over an older website price. Current indicative prices are 30 minutes £55, 60 minutes £75 and 90 minutes £111; breathwork 60 minutes £75 or 90 minutes £111; a three-session breathwork package £222, a six-session package £444, and an integration call £33. Check the booking page for the current scope of each service. Card payments are processed by Stripe. Free Breathe With Me sessions have no fee.

A booking is confirmed when you receive confirmation. Please check the appointment details and tell me promptly about an error. You must provide accurate contact and relevant safety information. A parent or person with parental responsibility must make or approve bookings for children and young people under 18, subject to any applicable law and the specific session arrangements.

Suitability and participation

Breathwork varies in intensity. I may ask you to complete an intake or safety form, recommend a gentler practice, postpone a session or decline a technique if I reasonably consider it unsuitable. You can pause or stop at any time. Please tell me about relevant health concerns before the session and seek medical advice when appropriate. These services are for wellbeing and personal development and do not diagnose, treat or replace medical or mental health care. The separate Wellbeing and Breathwork Information page gives further detail.

Online and group sessions

Join from a safe, private place using a stable connection. Do not join while driving. You are responsible for your own device and connection; I will make a reasonable effort to rearrange a session disrupted by a significant technical problem on my side. In groups, please respect others’ privacy and do not record, photograph or share another person’s contribution. I cannot guarantee that other participants will keep information shared in a group confidential, so share only what feels comfortable. I may ask someone to leave if their conduct creates a safety concern; any refund will be assessed fairly in the circumstances.

If I need to change a session

If I cancel or cannot provide a paid session, I will offer a suitable new date or a refund for the service or unused portion that I cannot provide. If I make a significant change to a planned group session, you may choose an appropriate alternative or refund. My liability is not restricted for death or personal injury caused by negligence, fraud, or any other liability that cannot lawfully be excluded. Any other remedy is subject to your statutory rights and the circumstances of the issue.

Concerns and complaints

Please contact info@helenoneill.co.uk if anything is wrong or you would like to make a complaint. I will acknowledge the concern and work with you to resolve it. These terms are governed by the law of England and Wales, without removing any mandatory consumer protection that applies to you.

Cancellation and Refund Policy

Last Updated 28th September 2026

Your appointment changes

If you need to move an individual appointment, please use the link in your Calendly confirmation or email info@helenoneill.co.uk at least 48 hours before the start time. Your payment will transfer to the rearranged appointment. If you cancel, ask to reschedule with less than 48 hours’ notice, or miss the appointment, the payment will normally not be refunded or transferred because that reserved time may be difficult to fill. I will consider genuine exceptional circumstances fairly. These rules also apply to each appointment within a package; an appointment affected by a late cancellation or no-show may count as used, subject to your statutory rights and a fair assessment of the circumstances.

For a cancellation made at least 48 hours before the appointment, you may ask for a refund if you do not wish to reschedule. If no work has yet been supplied, I will refund the session price, subject to any applicable statutory rules. Please contact me for package cancellations: unused sessions will be assessed and refunded where required by law or agreed fairly, taking account of sessions already provided. I will not impose a charge that is disproportionate to any actual loss or work supplied. Free sessions can simply be cancelled so that a place may be offered to someone else.

Your legal cancellation rights for online bookings

Some online service bookings carry a 14-day right to cancel from the day after the contract is made. There are exceptions, including some leisure activities for a specific date, so the position depends on the particular booking. The 48-hour appointment rule does not remove a statutory right that applies to your purchase. To exercise a statutory right, email info@helenoneill.co.uk with your name, booking details and a clear statement that you wish to cancel; you do not have to use a particular form.

If you expressly ask me to start a service during an applicable 14-day cancellation period, you may need to pay a proportionate amount for the service actually supplied before you cancel. If the service has been fully performed after your express request and acknowledgement, the right to cancel that service may end. Any refund due under the statutory rules will be made without undue delay and within 14 days of being told of the cancellation, normally to the original payment method. You may use the optional wording: “I give notice that I cancel my booking of [service], booked on [date], in the name of [name].”

If I cancel

If I cancel a paid session, you may choose a mutually suitable new date or receive a refund for the session or unused service I cannot provide. This does not affect any further rights you have if the service is not supplied with reasonable care and skill.

Wellbeing and Breathwork Information

Last Updated 28th September 2026

I offer breathwork, Reiki and spiritual healing, mindfulness, coaching, mediumship and related sessions for wellbeing and personal exploration. Experiences and outcomes differ. I make no promise of a particular physical, emotional or spiritual result. Mediumship and intuitive content reflects a personal spiritual practice; it should not be used as the sole basis for medical, legal, financial or other major decisions.

Breathing practices range from gentle, everyday breathing to more intensive conscious connected breathwork. Faster or deeper breathing can cause dizziness, tingling, strong feelings or discomfort. Do not force your breathing, hold your breath to the point of distress, or continue if you feel unwell. Tell me before booking about pregnancy, cardiovascular or respiratory conditions, seizures, serious mental health difficulties, recent surgery, or any other concern that may affect suitability. This list is not exhaustive. I may adapt the practice and may ask you to speak with an appropriate clinician first. For children and the free Breathe With Me groups, I use gentle, age-appropriate breathing and grounding practices, not intensive connected breathwork.

You remain free to decline any exercise, keep your eyes open, breathe normally, pause or leave. If you have urgent or severe symptoms, seek medical help. In the UK, call 999 for an emergency or use NHS 111 for urgent advice when it is not an emergency. My services do not replace assessment or treatment by a registered health professional; do not stop prescribed treatment on the basis of a session.

Children and Young People's Sessions

Last Updated 28th September 2026

The free Breathe With Me online sessions are organised in separate groups for children under 8, ages 8 to 12, teenagers and adults. Children’s sessions use simple, gentle breathing, movement or grounding activities appropriate to the group. They are wellbeing activities, not therapy or a treatment for a health condition. A child can choose to watch, pause or stop.

For anyone under 18, a parent or person with parental responsibility must register, provide a reachable contact and give written consent before the session. I also explain the activity in age-appropriate language and ask whether the child wants to take part. Consent from an adult does not override a child’s refusal. Tell me privately before the session about relevant health or support needs so I can consider an appropriate adjustment. Please do not disclose a child’s sensitive information to the whole group.

For the under-8 group, a parent or responsible adult must remain with or immediately beside the child throughout. For ages 8 to 12, a responsible adult must be on the premises and immediately available. For teenagers, a parent or responsible adult must know the session is taking place and be contactable; I will confirm the supervision arrangements for each activity. These online sessions are not childcare or emergency support.

Only registered participants may enter the meeting. Please use the child’s first name or a suitable display name, join from an appropriate space, and avoid showing private household details. Participants must not record, screenshot or share other children’s images or comments. I do not record children’s group sessions. Children should not contact me through private messaging or social media; parents or guardians can use the business contact details. If I need to end a child’s participation for safety, I will tell the parent or guardian. If a child or family wants individual support, that is arranged separately after a suitability discussion.

I collect only the child’s name, age group, necessary safety information and consent details for these groups. The fuller Privacy Notice explains how I handle them. For a child: “I need your name and a way to contact your grown-up so you can join safely. You can ask your grown-up or me what information I have about you. You can say no to an activity or ask to stop.”

Safe Guarding Statement

Last Updated 28th September 2026

I want children and young people attending my activities to feel safe, heard and respected. I arrange age-appropriate activities, obtain parent or guardian consent and the child’s agreement, set clear online boundaries, and respond to concerns. My business safeguarding contact is Helen O’Neill at info@helenoneill.co.uk or 07899 898374. A concern may be reported to me using those details.

I will make a factual record of a concern, share information only with people or agencies who need it for safety, and seek advice or refer to children’s social care or the police where appropriate. I cannot promise absolute confidentiality if someone may be at risk of harm. For an immediate danger, call 999. If you have a non-emergency concern about a child’s safety, contact your local children’s services or the NSPCC on 0808 800 5000. Children can contact Childline on 0800 1111.

This public statement sits alongside the practical safeguarding procedure I use to assess concerns, manage online meetings, respond to disclosures and review incidents. It is not a replacement for that procedure or for appropriate training and suitability checks.
